Haley Marketing Career Portal Application Manager Add-on Help Documentation
The Application Manager Add-on, when enabled, gives Haley Marketing Career Portal clients a way to manage their candidates’ job applications from within myHaley. This Add-on is useful for clients who manually post jobs via myHaley and use Haley’s application, or for clients who have an integration and use Haley’s application (as opposed to their 3rd party ATS application).
If you're interested in enabling this for your Haley Career Portal, contact the Haley Success team now!
Application Manager Features
- Favorite applications – Mark an application as a favorite to find it easier later.
- Set a status on candidate applications – Out of the box statuses include New, Contacted, Interview Requested, Interview Scheduled, References Checked, Offered, Hired, and Passed (Rejected). All status values can be fully customized – use all or just a few and change the labels to match your desired workflow.
- Candidate email templates – Send templated email messages from any recruiter to candidates (and optionally blind copy the recruiter assigned to the job) either individually or in bulk, based on specific criteria. The standard emails can be used with variable data from candidates to personalize the messaging. There are three versions available to customize: Schedule an interview, Make an offer, and Pass (Reject).
- Specific job application view – See all the applications and their statuses for a specific job right from the edit job posting screen with the same enhanced filtering mentioned above.
- Archive unqualified applications – Make the list of applications under consideration easier to manage by archiving applications that are not needed or not qualified.
- Enhanced candidate profile – Allow candidates to view the status of their applications via their career portal account page under Application History (optional).
Application Manager Quick Start Settings
Once you have worked with Haley Marketing to add Application Manager to your career portal, you can get started by editing the base settings.
1) Login to myHaley > Career Portal > Settings > Application Manager to get started.
2) Show Application Status to Candidates
When candidates are logged into their profile, and you enable this option, they will be able to view the status of any job applications they have submitted. This is an optional feature.
3) Set Up Approval Status Labels
Application Manager allows you to mark job applications with different statuses. Out-of-the-box statuses include: New, Contacted, Interview Requested, Interview Scheduled, References Checked, Offered, Hired, and Passed (Rejected). All status values can be fully customized – use all or just a few and change the labels to match your desired workflow.
New and Passed (Rejected) status fields are required, but can be renamed - New will always be associated with the New status, regardless of what it is labeled. Passed will always be red when viewing applications.
- Changing the number of statuses or labels on existing statuses
- Go to myHaley > Career Portal > Settings > Application Manager > Approval Status Labels section
- Check boxes next to the statuses you’d like to use.
- Add custom labels to the field below the checkbox to adjust the labels.
- These statuses will now appear under the Status field on applications.
- Go to myHaley > Career Portal > Settings > Application Manager > Approval Status Labels section
4) Set Up Candidate Email Templates
Send templated email messages from any recruiter to candidates (and optionally blind copy the recruiter) either individually or in bulk, based on specific criteria. The standard emails can be used with variable data from candidates to personalize the messaging.
There are three versions available to customize:
- Schedule an interview
- Make an offer
- Pass (Reject)
To set up your initial message templates:
1) Go to myHaley > Career Portal > Settings > Application Manager and scroll down to the Email Templates section.
2) Enter the email body content into each of the templates. You may use variable data to personalize the emails using the fields displayed in the right section of the screen. Make sure to click SAVE for each message when you're done.
